GPS fleet tracking: the complete guide for rental companies
Telematics is no longer reserved for large transport fleets. For a vehicle rental company, GPS tracking answers three daily questions: where is my vehicle, how many kilometres has it actually driven, and is it being used as agreed in the contract? At LOGITRAK SA, we have been equipping Swiss fleets since 2008 — here is what we have learned.
What GPS concretely brings to a rental company
| Benefit | Observed impact |
|---|---|
| Billing actual kilometres | ≈ 18% of over-limit km recovered on average |
| Non-return / late return | Immediate location, same-day intervention |
| Theft prevention | Alert on movement outside hours or zones |
| Geofencing (authorised zones) | Alert when leaving the territory agreed in the contract |
| Preventive maintenance | Automatic mileage alerts, less downtime |
How does it work?
A discreet telematics unit is installed in each vehicle (typical installation: 30–45 minutes per vehicle). It reports position, mileage and events to the platform. With the Logitrak integration in Logirent, this data is directly reconciled with rental contracts: departure and return mileage is recorded automatically, without manual readings.
What about data protection?
In Switzerland, GPS tracking of rental vehicles is permitted when proportionate and transparent. Three best practices:
- Inform the renter in the contract (explicit geolocation clause);
- Limit the purpose: fleet management, billing, security — not surveillance of individuals;
- Host and process data with a provider subject to Swiss law (nFADP).
Standalone GPS or GPS integrated with your management software?
A standalone GPS tracker tells you where the vehicle is. GPS integrated with your management tool links every trip to a contract, a customer and an invoice. That junction is where the value is created: kilometres billed automatically, contextualised alerts (“vehicle rented until 6 pm detected 200 km from the branch at 7 pm”), history per customer.
Conclusion
For a rental fleet, GPS tracking is not a gadget: it is a tool for fair billing, security and peace of mind. Integrated with management software, it usually pays for itself with the first recovered over-limit kilometres.
