Digitizing your vehicle rental business in Switzerland: the complete guide

Moving from paper and Excel to fully digital management can feel daunting. Good news: with a step-by-step method, the transition takes a few weeks, without interrupting ongoing rentals. Here is the plan we have applied with Swiss rental companies for years.

Step 1 — Inventory your fleet and processes

Before any tool, list your vehicles (registration, category, mileage, service deadlines), your pricing per category and your current documents (contract template, condition report, T&Cs). This inventory becomes the starting database of your future software.

Step 2 — Centralise bookings in a single calendar

The first visible gain: a real-time availability calendar shared by the whole team. No more “file locked by a colleague” and no more double bookings. Every vehicle has its row, every rental its block — visible from the office, the workshop or a smartphone.

Step 3 — Switch to digital contracts

The contract is generated automatically from the booking: customer identity, vehicle, dates, price, deductible, condition report. The customer signs electronically on a tablet or their phone. You save 10–15 minutes per departure and archiving becomes instant.

In Switzerland, a simple electronic signature is accepted for vehicle rental contracts (which require no special form). See our compliant contract checklist for what to include.

Step 4 — Take payments online (card and TWINT)

Payment linked to the booking removes manual reconciliation. Deposit at booking, balance at departure, pre-authorised security deposit: everything is traced. In Switzerland, offering TWINT alongside cards noticeably increases immediate payment rates.

Step 5 — Connect GPS tracking

This is the step that sets equipped rental companies apart: every vehicle reports its position and mileage in real time. You know where your fleet is, you invoice the kilometres actually driven and you react immediately in case of non-return. With Logirent, this building block is native thanks to the Logitrak integration.

Step 6 — Steer with a dashboard

Utilisation rate per vehicle, revenue per category, returning customers: the dashboard replaces the end-of-month Excel review with a real-time view. This is often when rental companies discover which vehicles are actually profitable — and which ones sit idle.

How long does it take?

  1. Week 1: import fleet and pricing, set up the contract template.
  2. Weeks 2–3: run old and new systems in parallel on new bookings.
  3. Week 4: full switch, team training (half a day is usually enough).
